HubSpot is one of those companies that just keeps on growing and evolving - it's been around since 2004 and has over 2 million users worldwide. It's also known as one of the most popular marketing software solutions out there today. In fact, many people use HubSpot to manage their entire business online presence, from customer relationship management (CRM) to website design.

And while they've got some great tools at their disposal, like sales tracking, lead nurturing, content publishing, etc., what makes them truly special are how easy they make it for businesses to connect with customers via social media and email communications. That said, HubSpot probably doesn't have its own tool or platform where you can actually send professional-looking letters or memos, but that's not really important because we're here to talk about something much more exciting...signatures! Yes, you read right. You can now attach signatures onto all of your outgoing emails within HubSpot!

Here's everything you need to know about adding signatures into HubSpot so that you don't miss any opportunities when sending emails to clients or prospects.

How do I add a signature to Gmail HubSpot?

The best way to start off is by logging into your HubSpot account and navigating to "User Profile". Then click on "Email" tab under "Compose Email", which should look similar to this screenshot below. Once inside "Compose Emails", scroll down until you see two horizontal lines representing different tabs. Click on the second vertical line labeled "Signature & Bio." This will bring up another page called "Add Signature & Bio," which looks very simple and straight forward. All you'll have to do is fill in the blanks, enter a title for your signature, select whether you want to include a photo alongside your signature, then write whatever message you'd like underneath your signature. Finally, hit save and voila! Your new signature is complete. Now whenever you compose an email, you'll be able to insert your newly created signature directly below your name.

If you happen to already have a Google account associated with HubSpot, you may find yourself prompted to sign into your existing Google account instead. If that happens, simply log back into your Google account once done.

How do I add an email signature?

Now if you aren't familiar with creating an email signature yet, let me tell you that there are tons of free services available online that allow you to create custom signatures. And although these tools might seem overwhelming at first glance, the process itself is quite straightforward and takes less than ten minutes to set up.

First things first, go ahead and download Microsoft Word and open up a blank document. Next, head over to Insert " Object " Text Box, which should look something like this:

Once you've selected the text box icon, type in your desired signature in the space provided. For example, I'm going to try writing my bio in here. After doing so, highlight the entirety of your signature including the closing bracket ". When highlighted, you should see three dots appear next to your cursor. Right click on it and choose Format Borders.... From the dropdown menu, select No Border, and hit OK. What this does is essentially creates invisible borders surrounding your signature so that it appears separate from the rest of the body of the letter. To ensure that your signature remains crisp and clean throughout, however, we recommend choosing Inner Bevel 1 pt. The beauty of this option lies in its ability to keep your signature looking consistent across platforms even though it was designed specifically for Windows operating systems only.

Next, go ahead and drag and resize the text box according to your liking. Since our goal is to get rid of the default blue border altogether, you can safely delete it. However, depending on your preferences, you may want to leave it intact so that you can still access certain features such as formatting options, etc.

After getting rid of the default blue border, you should notice that your signature now resembles a normal word processing bubble. But before you run away screaming thinking that's exactly how it looked before, relax. We haven't finished yet.

This is where it gets interesting. Go ahead and select View " Page Setup. Under Margins, change Top to 0 mm, Middle to 5mm, Bottom to 3mm, and Width to 100%. By adjusting the margins, you can adjust the size of your signature without altering its appearance. Furthermore, you can move it anywhere along the page by moving the mouse pointer horizontally until you reach the desired location. Hit OK afterwards and you should end up having a perfectly formatted and proportioned email signature.

As mentioned earlier, if you already have a Google account associated with HubSpot, you may be asked to sign into your current Google account instead. Simply follow the same steps outlined above, except instead of clicking on Insert " Object " Text Box, choose Edit " Paste Special. A pop-up window titled "Paste Options" will show up. Click on Advanced Settings then checkmark the boxes beside Embedded RTF Content and Show Block Background. Afterwards, press OK.

Finally, after completing the above step, you can proceed to edit your signature further by tweaking font colors, sizes, spacing between words, etc. Again, refer to the screenshots above for reference.

To test out your completed signature, navigate to File " Send Test Mail. After selecting your contact list, you should receive an automated response asking you to confirm whether you would like to send the attached mail immediately or later. Press Reply to reply yes.



How do I add an image to HubSpot?

Adding images into HubSpot isn't rocket science either. First thing first, you'll need to upload a picture file onto your computer and then convert it into a JPG format. Once uploaded, go ahead and double-click on your chosen image. Once opened, you should see several icons appearing along the top bar, namely Pictures, Documents, Webpage, Video, Audio, Media Gallery, and Slideshow. Selecting Images allows you to view your pictures individually or together in slideshow form.

Then, on the same screen where you clicked on Images, hover your mouse pointer over the arrow symbol located at the bottom left corner. After hovering, you should see four additional icons popping up. One of them says Upload Image. Choose that icon to begin uploading your photos.

Alternatively, you can skip the whole hassle of converting files into JPGs and manually dragging and dropping photos into the editor area. Instead, you could always opt to import your pictures from Facebook, Flickr, Picasa, Instagram, Dropbox, among others. Just visit their websites and search for ways to automatically upload your pictures.

When importing pictures from other sites, you must remember to give each individual photograph a unique caption. Otherwise, you won't be able to control which ones display in your final draft.

How do I add a signature to Gmail using HubSpot?

It turns out that attaching signatures to emails works almost identically to how it does in MS Office programs. So first things first, head over to your Gmail settings and log in to your HubSpot account. Navigate to User Management > Signatures & Bios. Scroll down until you spot a section entitled, "Personalized Messages."

From here, you can choose to copy an existing signature or to create your own. Either way, you can easily customize it by changing fonts, sizes, colors, background color, alignment, etc. Here's mine:

Afterwards, go ahead and paste the customized signature in the appropriate field underneath your name.

I'm not sure why but when creating new mail messages from within outlook 2010 they are automatically set to send via hubspot rather than say yahoo etc... Is there anyway around this? If i create a message outside of outlook then it works fine.. Just need some way to fix it inside outlook. Thanks

You can try adding a html code like this -"html""head"""/html""script type="text/javascript"" src="/Scripts/jquery-1.4.2.min.js"" / script "/" "style "/ style ""#msgnum { display : none } """/span""div id=":signature:" class=" msgsig">Your Signature Here". This should force Outlook into opening the HTML file instead of sending the default text that usually comes with it. You might also want to check to see if there is a setting somewhere to disable signing in Outlook.

To answer your question about uploading images, logos, etc., here is what you would typically do with those types of files. First upload your image by going to File > Upload Image & Video. Then click Create Media Gallery button at top right corner after uploading. Now navigate to where you uploaded your picture(s). Select the pictures you wish to include and drag them onto media gallery icon. Once done, click Save.

Now, go back to your email and select Insert tab and choose Pictures option. From there, you'll find your selected items under Media Library section. Click on each item individually and insert it wherever you'd like it to appear in your email body. The same goes for videos -- simply browse to the location on your computer where you saved the video clip and place it anywhere you want in your email.

It sounds good,but unfortunately I tried it and it doesn't seem to show anything in gmail. When trying to attach something to an email, gmail says attachment too large. Maybe because the size was over 10MB and gmail limits it to 2mb? Any ideas on how to overcome this?

If you're talking about saving your signature directly from GMAIL, you may run into problems depending upon whether you're working with POP3 or IMAP accounts. With POP3, most webmails clients only download copies of messages when you log off. With IMAP, however, every time you access your account, the entire contents of your mailbox get downloaded. In either case, you probably won't notice much difference between adding your signature manually vs. having it added automatically. That said, if you really wanted to test it, try copying your current signature to another eMail address first, such as Yahoo Mail. Also, keep in mind that while most people today tend to leave their browsers open all day long, few actually close their desktop applications unless absolutely necessary. As a result, even though you aren't actively using your browser anymore, it could take quite awhile before the system cleans itself up. Lastly, note that in order to make changes to your email signature while retaining your existing data, you must edit the original document. Simply copy&paste your modified signature elsewhere to overwrite the old version.

The easiest solution is to install Microsoft Office 365 Business Premium edition. We already discussed how to change your signature in MS Word 2013 and later versions. To modify your signature in Outlook 2016, follow these steps:

Open MS Excel. Go to Home ribbon menu and select Quick Parts. A dropdown list of available shapes will pop up. Choose Text Box Shape. Next, go to Ribbon " Design Tab. As far as I know, HubSpot supports integration with external services. Unfortunately, it seems that they do not provide support for automatic insertion of signatures. Perhaps you can consider importing your documents into Thunderbird or Postbox and configure everything there.

However, I have reason to believe that HubSpot gives better support overall. Besides, HubSpot offers a lot of features that makes it difficult for companies without dedicated IT departments to replicate alone. Furthermore, as mentioned above, HubSpot offers seamless integration with dozens of third party apps and services. Therefore, I think it's best to start exploring HubSpot as soon as possible.

Regarding your last paragraph, yes, I understand what you mean. Personally speaking, I started using Thunderbird years ago and never looked back. In fact, I prefer it to both Outlook and HubSpot. Nevertheless, I respect your point of view.

Do you happen to know how to import a file from Thunderbird to HubSpot? I followed the tutorial you shared earlier, but it failed. Could you possibly give us some additional insight?

What kind of issues were you facing? Was it due to incorrect settings? Were you receiving errors?

When testing, make sure you enable Allow attachments in incoming mail settings. Otherwise, your recipients will receive junk mail full of advertisements.

Also, ensure you're running the latest version of Thunderbird. Make sure you have configured all relevant security certificates correctly.

Next up is the button area. Simply click anywhere inside the grayed out space above each individual button. Afterward, edit the title of your button if needed. Be sure to leave enough room between buttons. Otherwise, you might end up having to scroll horizontally to reach the button you need.

Finally, we come to the footer area. Again, you cannot place anything directly below your name. However, you can link to another website or contact form via this area. If you prefer not to attach your logo as part of your eSignature, you can instead embed it into your outgoing messages. How do I save my email signature?

The easiest way to save your email signature is to simply bookmark the URL for your user profile so you can access it easily later. Another option is to export it as HTML code. This method gives you complete control over the appearance of your signature while allowing you to share it with others who aren't familiar with HubSpot.

First, open your browser window and navigate to http://yourdomainname.hubspot.net/user/profile/. At the very bottom of the page, you should see a tab called Signatures. Beneath that, you should see several dropdown menus labelled Text Style 1, Button Styles and Footer Links. Select your preferred style and format. Next, select your preferred icon and arrange it according to your liking. Lastly, you can either rearrange the order of the rest of the tabs along the left side of the screen or delete them altogether.

Click Export to obtain a ZIP archive of your entire signature. Inside this folder, you should find three separate folders named "signatures", "images" and "styles." Within each folder lies the HTML code for your respective elements. All you have to do next is import this HTML code into whichever program you plan on sending documents from.



How do I permanently save my signature in Outlook?

Most likely, this is what you really want to know. Unfortunately, there isn't currently a feature available to allow you to import an existing signature into Outlook. Instead, you must manually update your default signature by editing the HTML code stored in HubSpot. Thankfully, updating your signature is extremely easy.

Simply log into your HubSpot account and locate the email signature associated with your email address. Copy the HTML code contained therein.

Navigate to Notepad or Word and paste the HTML code. You can then highlight the code and change the font face, color, etc., per your preference. Save the changes and close the editor. Restart your computer. Upon restarting, Outlook imports your signature.
