How do I get my Gmail signature on my phone?


Email signatures are the short bits of writing at the end of an email. They might be something along the lines of "Best Regards" or "See You Soon". But what if you want to have more space for personalisation and also save it as a draft in case of any changes later. Well, then you need to turn to Gmail's signature feature which works with both desktop and mobiles.

But how does this work exactly, why doesn't it show up by default when sending emails from Android/iPhone, and can we still upload images into our signatures too? Let's find out...

Why isn't my Gmail signature showing on my phone?

There could be multiple reasons behind this problem. First off all, let’s see whether your account has been set-up correctly. The most common reason people face issues with their Google signatures is incorrect configuration. It may happen due to different factors such as wrong domain name, missing subdomain (if using @gmail), having two step verification enabled on your account, etc. So check these first before moving ahead with other possible solutions.

If everything looks fine so far but there’s no improvement, try resetting your password. This should solve your issue in most cases. If after doing all those things mentioned above, none seems to help, restarting your device would probably fix it. Also make sure you haven’t changed anything recently which may affect the Gmail setting.

So now that you're done checking for all the possibilities, let's look at some quick fixes that'll hopefully resolve your issue.

Can I use Gmail signature on mobile?

Yes! Of course you can. As long as you've configured it properly, it will definitely show up on your smartphone once sent. Here's what you need to know about adding a Gmail signature to your iPhone or android phone.

Adding a new signature is pretty easy. All you need to do is click on More options next to Send button while composing a message. Then select Add signature under Manage Signatures section. From here choose Create New. Now enter your desired username followed by.@gmail.com. Next go through the steps and fill in your details including your photo ID, birthday, gender, location, website, social profiles links, occupation, education level, home address, current city, preferred language, etc. Once you finish filling them out, hit Save Draft. Finally, send your email normally.

Now even though your Gmail profile won't appear on your screen, don't worry. You can open settings again and enable Show me additional features option under General tab. And voila! Your customised signature will pop right up next time you compose another mail.

In order to avoid confusion, it's always better to create separate profiles for business and personal accounts. For example, you can keep one Gmail inbox just for private messages only, where your regular newsletters wouldn't appear. Another thing you can consider is creating filters to segregate your mails accordingly. In addition to that, since signatures aren't meant to be used offline, they shouldn't really matter much unless you plan on printing off copies.

Another important point to remember is that Gmail users cannot edit existing signatures. Therefore, if someone else created yours previously, ask them to delete it instead of changing it yourself. That way, you can maintain consistency across various devices without worrying about losing access to old emails.



Why is Gmail signature not working on mobile?

As discussed earlier, there lots of potential reasons for this error. Some of them include outdated browser version, incompatible app, bad internet connection, server downtime, etc. Try updating your web browser and check if that helps. Make sure you have enough storage space available on your phone. Check if your device supports HTML5 technology. Lastly, ensure that your computer and your phone connect over same Wi-Fi network.

Also, you can opt for third party apps to speed up the process further. There are many great choices that allow you to quickly build professional looking signatures online. We recommend MailSignature Lite [No Longer Available] and Email Signature Maker Pro. Both of these tools offer premium services with extra features that come included free of cost.

However, if you'd rather stick to the native Gmail interface, it's best to follow these instructions:

Click on Settings icon located at the top left corner of your screen. Go down to Forwarding & POP/IMAP Options and disable Use IMAP. Click Apply Changes.

Next, scroll down till you reach Additional Features and enable Show My Personal Data. Hit Done.

While doing this, ensure that you remove the previous signature manually. Otherwise, it'll replace your previous signature everytime you send an email.

Once you've successfully added a signature to Gmail, you can start editing its appearance with ease. To do that, head back to the Settings menu. Scroll down until you find Compose window entry. Tap on Edit fields near the bottom of the page. Select Appearance field. Change the dropdown beside Default value to Customize. Choose your own background color, font colour, link colours, border width, shadow effects, and transparency percentage. Lastly, tap Back.

To change the style of your signature, repeat the exact procedure described above. However, this time pick Modify Existing Fields instead of Creating New ones. After making your required edits, press OK.

You can now view your newly modified signature in action via Test Composer pane. When you're happy with the result, copy the URL link and paste it elsewhere. Similarly, you can modify existing signatures as well. Just take note that you can't update them directly within Gmail itself. Instead, you need to download the appropriate file onto your PC and reupload it afterwards.

Can you add image to Gmail Mobile Signature?

You bet you can! Adding photos to your signature is actually quite simple. Follow the below steps:

Go to Settings > Account Preferences > Privacy Controls. Under Access your data, click Edit Field List. Find Email Signature box and expand Advanced Editing. Drag and drop Photos into the corresponding boxes. Press Done to complete saving changes.

On the last step, select Upload File(s) and browse for your picture. Ensure that you pick the correct one. Hit Continue.

Your signature should now incorporate your chosen image alongside other elements. Remember to adjust the transparency levels of each element individually as per your preference.

That said, it's advisable to refrain from uploading large files (more than 1MB). This restriction applies to GIFs and PNGs alike. Images must be smaller than 2 MB. Moreover, they should ideally be less than 3 KB. Otherwise, you may run into problems with attachment size limits.

Similarly, videos can also cause trouble if uploaded beyond certain dimensions. So limit the resolution to lower than 640 x 480 pixels. Keep this rule in mind whenever you decide to embed media content in your signature.

It is worth noting that your primary address photo shows up by default when anyone opens an email from your account. You can easily tweak that to suit your taste. Simply visit Settings > Address Book and drag your avatar towards the top of the list.

I’m a big fan of email signatures. They are the first thing you see when someone sends you an email and they can be as simple or elaborate as you want them to be — depending on who it's from.

But there is one problem with email signatures (and this also applies to other digital forms such as social media profiles): if you're not using an email client on your smartphone, setting up an email signature requires some extra effort.

While most people use their smartphones as their primary way to check emails, many don't have any idea how to set up an email signature on their device. If you've never done so before, here's everything you need to know about adding a signature to your mobile inbox...

Does email signature work on phone?

Yes! Email signatures work perfectly fine on phones. As long as you have access to internet, you should be able to create an email signature in seconds. You just have to follow these steps below.

1) Create an account at either Google Drive or Dropbox. Both services allow you to upload documents without leaving the apps you're currently using. To save time, we'll show you how to sign into both accounts through Chrome. However, the exact process will vary based on which service you choose.

2) Go to Settings " Accounts & Import in Google Drive. Or go to Menu " More tools " Settings " Account settings in Dropbox. Once you open those menus, look under Sign-In Options and click Add another sign-in method. This opens a new window where you can log into your chosen service by entering your credentials. Click Allow once again. Now, whenever you send/receive an email on your Android phone, a pop-up screen will appear asking whether you'd like to enter your password manually or autofill the form fields. Select Autofill. The next step asks what kind of document you would like to use to fill out this field. Choose Email Signature. After clicking Next, you will be taken back to the previous menu. From now on, whenever you receive an email while signed into Drive or Dropbox, you won't see the standard browser dialog box anymore but rather a dropdown menu showing all available email signatures. Select whichever option works best for you. For our example, select Personalised Email Signature. It gives us the following options:

3) Scroll down until you find the section labelled Your Name, Phone number, and Website Address. Under the heading Website address, tap +Add Field. A popup window will appear allowing you to type in whatever website addresses you may wish to include. Tap OK after inputting your desired URLs. That concludes creating an email signature on Drive or Dropbox.

4) Unfortunately, due to Apple restrictions, it isn't possible to add custom email signatures directly within Mail on iOS. You could try sending yourself a message every day with your email signature embedded inside it, but that seems pretty annoying. Instead, download the free TextExpander app and copy and paste your signature within this app. You can then sync your signature across multiple devices via iCloud. Alternatively, you can also opt for Gmelius' free tool which allows you to quickly create professional looking signatures.

5) With iOS 10, you can finally embed an image in an email signature. While you cannot change the size or position of images uploaded via iMessage or WhatsApp, you can always resize them later in Photoshop.

6) Another alternative to storing your email signature online is to keep it locally. We recommend doing so because if something goes wrong with either Dropbox or Google Drive, you still have access to your file even though it might take hours to restore. Also, if you lose your phone, you can easily transfer data onto a replacement device. Here's how to store your signature offline on Outlook for Windows.

7) Finally, if none of the above methods suit you, you can simply make sure that your phone has Wi-Fi turned on and connect it to a computer running Microsoft Word to create your own email signature. Simply start typing your name, title, company name, telephone numbers, etc., and press Enter. Then repeat the same procedure for each additional piece of information you want to add to the signature. When you reach the end of the list, close the document by pressing Ctrl+F9. On your smartphone, make sure that your email program supports importing DOCX files. Otherwise, you will have to export the signature as an HTML code and import it into your preferred email application as described above.

8) There is yet another way to add an email signature to your iPhone: go to Settings " Safari " AutoFill Passwords. Scroll down until you find the entry titled Other—Signature. Tap it and you will see two choices: Plaintext and Rich Text. If you chose Plaintext, you will only see basic details such as your full name and email address. If you selected Rich Text, however, you will see several more advanced features such as links to your LinkedIn profile and Twitter handle. Either way, you can edit the content of this field by tapping Edit. Type in your personal email signature and hit Done.

Once you complete the setup, your signature will be instantly added to all future messages sent via SMS, MMS, email and web pages. Please note that since auto-fill doesn't support copying passwords between different applications, you shouldn't put anything sensitive in your signature. Such as credit card info, login info for websites, etc.

How do I set up an email signature on my phone?

Now that you've got the basics down, let's move forward together and learn how to actually generate an email signature on your Android phone.

The easiest way is to head over to the official FAQ page for Gmail users. Just scroll down till you spot the section called How do I enable my signature?, and read instructions 1), 2), 3). In case you prefer the old school approach, we've included screenshots for that too.

You can skip the second part of the instructions and jump straight to Part 4 - Adding your signature to outgoing mail.

Alternatively, you can also visit Gmail Help Center. Scroll down to the section named Setting Up Email Signatures. Follow instructions 5a) and 5b) to proceed further.

If you feel more comfortable reading written directions than watching videos, we highly suggest downloading Evernote Hello [No Longer Available] app instead. Using this tool is exactly similar to signing up for an account at the help centre mentioned earlier. All you have to do is scan the QR code right after opening the app. It takes around five minutes and once completed, you will have successfully created your very own email signature.

We've summarized the whole process below:

Download the Evernote Hello app. Make sure you have Bluetooth enabled on your phone. Open the app and wait for the scanning process to finish.

Enter your name, birthday, gender, date of birth, and country. Hit Continue.

Choose the language you speak and tap Finish. Congratulations, you've just created your very own email signature.

Open your email client. Find the compose tab and locate the icon representing your newly generated signature. Drag it wherever you think it looks good. Remember, you can adjust its appearance by hovering over the preview and dragging upwards or downwards.

When finished, hit Send/Reply.

That's it! Keep in mind that you can delete the signature anytime you wish.

How do I set up a signature for my email?

Assuming you already have a Gmail account, you probably wonder why there's no dedicated button for generating a signature. Well, that's because it depends on the sender. Generally speaking, if you're receiving an email from someone whose email signature you like, chances are they didn't provide you with one themselves. So, you have to ask them to do it for you. Below is a quick guide explaining how to set up a signature for incoming emails.

Go to your inbox. Look for a message from somebody whom you really enjoy seeing everyday. Right underneath his/her name, notice the little downward arrow. Clicking on it will bring up a popup window. Inside that window, you will see three sections marked Basic Info, Additional Information and Customize Signature.

Under Basic Info, you will see the person's real name, photo, bio and current role. If he/she provided you with an email signature, it will be shown beneath the last paragraph. If not, you can leave the default placeholder text unchanged. But remember that your recipient must agree to attach your signature to her replies.

Additional Information lets you decide what else to write besides your name and contact information. Feel free to add a short sentence describing your job function or project, along with your location or office address. Likewise, you can mention your hobbies or interests, or invite others to join your mailing list.

Lastly, tap Customize Signature to add elements such as photos or logos. Don't forget to give them relevant titles so you know which ones belong to which parts of your signature.

What happens if the receiver doesn't accept email signatures?

Email signatures are the first thing we see when someone sends us mail. And if you're anything like me, it's easy to customize with all sorts of personal details and fun facts about yourself.

But how can you use these customizations while also keeping them mobile-friendly for anyone who receives your emails from their computer screen — or even tablet? Here's what to know about adding a new email signature to any device.

How do I add a signature to my email on my Samsung phone?

The process isn't exactly complicated but there are some steps you need to take if you want your changes to stick. First off, make sure your phone has been synced recently, because you'll have to sign into both accounts at once. If this isn't working out well for you, check our guide here. You might find that you've messed around with settings too much and now one account won't sync properly. This may require going through Settings & Accounts " [Account] then tap Signing Email and select Sync SMS Message Signature instead.

Once everything works smoothly, open your email app (in my case, Inbox by Gmail) and go to compose window. At the bottom under Subject line options, click Add Signature, which should be right next to where you type in the subject field. A pop-up box will appear asking where you'd like to place your signature, so choose whichever option suits best. From there, just start typing! To change things later, return to the same area and hit Remove All Text. Don't worry, you still have access to Edit Signature.

If you don't feel comfortable doing this, another way to manage signatures online is with Gmelius' free tool called MySignature+. It lets you create multiple signatures as long as they only contain images and links, though it does cost $5 per month after a seven day trial period.

You can download MySignatures+ via the Google Play Store. After signing in, you'll be prompted to set up a profile for each of your devices. Then head over to Manage Profiles " +Add Profile and follow the instructions to complete setup. Once signed in everywhere, you should be able to upload photos to your profiles without issue.

With either method, if you ever want to delete something, simply visit the respective section within your email client, locate the relevant profile, and remove whatever you wish to eliminate. Remember to repeat this step on every device you own. Your smartphone probably won't be used very often, but tablets definitely shouldn't escape cleanup duty.

How do I add a picture to my email signature on Android?

I already mentioned above that you must ensure that your email clients have been updated. If not, chances are you won't be able to edit your signature directly from your inbox anymore. Instead, try opening your email client and composing a message. When you arrive at its final destination, look down below at the top bar. Click More Options and scroll until you reach Show Signature, then pick Image. Now drag and drop your photo onto the page. You'll notice that it appears in tiny thumbnails along the left edge of your message. That's the default setting, so you could skip ahead to the last part, where it says Change Picture. Hit that button and select Save Photo As New Sender ID. From there, name your image file whatever you prefer.

When you send your email, the recipient will receive an attachment containing your signature. They can easily save it wherever they please — perhaps a folder named “Images" would work better than others. The important point to remember is that recipients can attach their saved version anywhere they wish, provided they have that particular email program installed. So keep it simple and store it somewhere universally recognizable.



How do I add an image to my email signature on my iPhone?

Unfortunately, Apple Mail users aren't quite as lucky. For starters, you can't add pictures to your messages on iOS unless you're sending them from iCloud. But since most people won't bother switching back and forth between apps, let's assume those folks never received such correspondence. We can bypass this restriction by taking advantage of iMessage, which allows users to insert images into conversations.

To do so, open up Messages. Tap Details beneath the conversation you're currently involved in. Choose Send Preview, followed by Image. Select Photos Library, and browse for the image you want to share across platforms. Make sure it looks good before hitting Next. Finally, enter a title and description for your creation and tap Done. When asked whether you'd like to Share With Everyone, confirm yes. Be aware that you cannot control who else sees your customized preview aside from other Apple users.

Now whenever you reply to a friend, they can view your unique avatar. Unfortunately, this feature hasn't made its way outside the confines of Apple's walled garden yet, so non-Apple owners are out of luck.

While waiting for Apple to catch up, however, you can always resort to third-party tools. There are plenty of services available that allow you to design avatars, or even entire signatures, specifically for iPhones. One popular choice is Avaz Free Messaging Avatar Creator. Simply input your preferred dimensions, specify whether or not you want your face to remain visible, and decide how many fingers you'd like to display.

Afterward, you can either export your avatar as an animated GIF or PNG. Alternatively, you can opt to install the app on your phone and enjoy instant gratification.

Why doesn't my signature show up in Gmail on my phone?

Despite being equipped with pretty much every major platform, there are certain programs that refuse to support signatures natively. Fortunately, you can usually fix this problem by tweaking a few obscure settings. Let's begin with Windows 10. Go to Start Menu " PC Settings " Mail " Additional features. Scroll down until you spot Signatures, then turn On. Lastly, hit Save Changes.

Next, come back to this menu and expand Other People. Look for Turn Off Autosign Off, followed by Apply. Now restart your browser. Open Gmail again and navigate to https://mail.google.com/preview/. Within the new tab, click the cog icon in the upper-right corner and select Configure " General. Check Automatically append signatures to outgoing mails, then hit OK.

Finally, log into your account on a desktop and check to see if your signature shows up correctly. If it doesn't, try turning Auto-Signoff on and removing the code snippet found earlier. If nothing seems to work, refer to the following video tutorial for detailed instructions.

There are similar solutions for MacOS systems, but unfortunately, none seem to function properly. Maybe someday Apple will update its Mail app to include this functionality, but until then, you may have to live with a subpar experience.

It goes without saying that the aforementioned methods are far from ideal. While they do offer a sense of security against snoopers, they certainly aren't seamless enough to warrant replacing standard signatures altogether. Thankfully, there are ways to enhance your privacy further.
