Even though we usually use Gmail or Outlook when communicating with colleagues and friends, there are still some things that might confuse you while sending your message. Here are seven common questions about the formatting of business emails.

What should I write in subject line?

The first thing to keep in mind is that most people skim through their inboxes looking for messages from certain people (with whom they have history). If this person wrote "Hi" instead of something more formal like "Dear Sir," then chances are he/she will read your reply right away. Of course, this depends on many other factors such as time zone and whether it's convenient for them. Still, it's better to start out by following standard rules.

Subject lines need to be short but descriptive enough so that recipient would know what exactly they want to see next. You could say which project you'll work on today or ask him/her to check up on specific item within his responsibilities. The main idea here is to give reader a brief overview of what she needs to take care off next.

Example 1: Hi John! Just wanted to let you know that the report has been completed and sent over to HR department. Thanks again for helping me last week!

Example 2: Dear Alice, Here is the updated schedule for our meeting tomorrow morning. Please remind everyone who hasn't confirmed yet. Thank you very much for taking care of these details for us!

When using two separate sentences, make sure one describes the action completely ("here", "updates") and the second sentence gives extra information ("report" and "details"). This way you won't leave anyone wondering where you stand after reading just one long paragraph. Keep in mind that shorter paragraphs tend to be easier to scan than longer ones.

Also remember that sometimes people don't always open all of your mails because they find them too busy to deal with at that moment. In those cases it's best to send follow ups via phone call or even SMS. It may sound counterintuitive but doing this actually helps avoid unwanted spam reports against your account.

What is difference between address and mailing address?

Mailing addresses differ slightly from actual street addresses. A mailing address refers to where mail gets delivered once it leaves post office whereas a real postal code indicates only location of residence itself. For example, my apartment building's mailing address is 1010 Park Ave., New York City 10016 but its ZIP Code (which determines exact spot) is 10002 since we live in Manhattan.

If you plan to contact someone outside of US, make sure you get both correct. Most often it happens when dealing with international clients whose country codes are different from ours (i.e. UK vs. GBP, Japan vs. JPY etc.). Other times it comes down to language issues -- e.g. French residents might also receive letters written in English.

Mail carriers try to deliver every letter to proper place. But mistakes happen occasionally, especially during rush hours. That's why local post offices employ additional staff called delivery officers. They help sort incoming letters into appropriate boxes based on zip codes and physical locations. When you send snail mail to another country, delivery officer's job becomes crucial. He/She must translate your letter according to destination countries' alphabet systems and figure out where to put it. To ensure quick processing, it takes quite some effort.

In case you ever wonder where your package ends up if you ship it overseas, think of FedEx tracking numbers. These unique barcodes are printed onto each envelope you send. Once scanned, system will tell you everything you need to know including carrier name, final destination, transit time and estimated arrival date. Unfortunately, USPS doesn't offer similar service. Instead, you have to wait until somebody opens it. Then you'd either hear back directly from customer service or catch word of mouth around town.

What does full mailing address mean?

A full mailing address consists of several parts. First part is known as postal prefix. Usually it contains 5 digits followed by 3 sets of characters separated by hyphens (-). So, the number 1234 Main Street, Anytown, USA 12345-6789 would be considered a complete address. Postal prefix tells carrier where to direct the letter to reach intended receiver. Some cities require postal workers to pick up packages from any house regardless of owner's presence. In other words, if you rent out an apartment unit under same ownership, your landlord can be notified whenever you receive mail addressed specifically to yourself. On the contrary, having own mailbox means you can choose not to share your home address with others.

Next step is street number and street suffix. As mentioned above, a lot of states allow property owners to designate private areas without putting signs on buildings themselves. However, postal worker still needs to determine which box belongs to particular address.

Last important piece of puzzle is Zip code. This digit shows where letter goes once it passes sorting station. Since most cities adopt standardized numbering system, ZIP code serves as universal identifier across entire region. By law, state government requires all businesses to register their Zip code with Department of Motor Vehicles. And yes, it applies to residential units as well.

Postal codes were originally designed to track efficiency of postmen delivering letters. Longer codes contain more significant digits due to higher probability of getting lost. At the same time, shorter codes are harder to memorize and thus less efficient. Nowadays, almost everybody uses 10 character version called ZIP+4 code. While ZIP stands for Zone Improvement Plan, +4 adds checking digit to prevent accidental duplication of previous one.

As you've probably noticed, postal codes aren't limited to geographic boundaries. There are multiple ways companies can legally incorporate non-geographic identifiers such as social security number, employee ID, company name or telephone number into ZIP code. One option is to include such data into Post Office area designation. Another alternative allows adding special alphanumeric string to indicate affiliation to particular organization. Such approach was popular among banks offering financial services. Lastly, some carriers assign unique numeric IDs to individual customers. Companies use these codes to identify recipients and filter junk mail accordingly.

What does a mailing address consist of?

To answer this question, we need to go through major components of a typical American residential address. Let's assume we're talking about single family homes. Front yard sign is placed on front lawn indicating street name. Next to it lives mailbox holder. Mailbox symbolizes official entrance leading inside of premises while holder keeps it secure. Right behind the door lies a small porch. Porch leads to interior hallway. Hallway starts with inner wall marked with numbered doors. Door frames show floor number below corresponding entry. Each room shares identical layout except for bathrooms and kitchens. Bathroom is located past hallways (usually in basement), kitchen is found beyond bedrooms or closets. After bathroom, there's dining room, living room, study and finally master bedroom. All rooms come equipped with windows and doors. Every window features opening size and style. Doors serve as exits from respective rooms to adjacent spaces. Finally, there's exterior space dedicated solely for garbage bin. Space includes parking pad, driveway and garage.

Now let's discuss differences between mailboxes and houses. Mailboxes are typically rectangular metal constructions standing alone outdoors. Some older models resemble old school mail slots and have handles attached to top sides. Others are enclosed with plastic walls and may feature electronic locks. House side counterparts look nearly indistinguishable except for small slot allowing letters to pass through. Both types are usually free standing and made from durable materials. Houses are normally brick structures built atop foundation. Exterior façade is protected by mortar joints filled with gravel stones. Windows are mostly double hungs featuring bottom sash mounted parallel to ground level and upper set swinging outward. Entry doors are framed with wood and painted white. Backyard is grassy patch shared with neighbors. Garbage bins feature lids with clear openings.

There's no definite rule stating how many pieces of mail can fit into mailbox. According to United States Postal Service, maximum capacity varies depending on type of correspondence. Letters weighing 4 ounces (112 grams) or less can travel safely into smaller containers measuring 14 inches wide by 20 inches high. Boxes with dimensions 15 x 13 x 9 inches accommodate items larger than 8 cubic feet. Larger envelopes weighing 16 ounces or more cannot enter mailbox and require large bulk postage rate.

Don't worry about using abbreviations unless they're necessary since most people will have their email client set up with plain text anyway. Also avoid excessive punctuation like exclamation points! When in doubt, ask yourself if this sentence would work better as one longer paragraph rather than two shorter ones. And never use "please" or "thank you." It makes you seem more formal instead of polite.

The best thing you can do for clarity is to check your grammar first. If you don't know how to spell something correctly, Google it. Here are some examples of things to consider adding in your email body:

A summary of the situation at hand: “I received your letter regarding last week’s incident, but just wanted to followup to let you know that the matter has been resolved.”

An apology: “I am sorry for not keeping my promise yesterday. Your concerns were valid, and I assure you that I won’t happen again.”

Something funny: “Hi John, I saw your tweet earlier today about wanting to go out tonight. Did you mean Friday night?”

If you think that might come across as offensive, try changing the wording around slightly: “Let’s grab dinner tomorrow night after work.”

One tip to remember is that brevity really does count. Keep paragraphs short and bullet lists should always be kept brief. In general, stick to three sentences per paragraph and five items per list. This allows readers to absorb information quickly and easily while remaining focused.

Another important consideration is tone. Think hard about whether it feels appropriate to include certain details about yourself. For example, sharing sensitive personal info like where you live may feel awkward because people usually only share those kinds of details within close friends and family. If you can say everything you want to with a simple statement, then by all means do so. Otherwise, save these types of details for face time.

But be mindful: Not everyone shares your sense of privacy. Some people will find your home address interesting enough to look up later.

Finally, avoid overusing emoticons. They tend to add unnecessary emotion to otherwise dry messages. One exception might be during a crisis, though.

Plus, most email clients automatically capitalize words in the subject field, but having headers set apart adds extra visual distinction.

Keep formatting consistent throughout your entire email. Use bolding, italics, underlining, etc., sparingly, especially with links. Too much emphasis can detract from content instead of complementing it. While link hyperlinks are essential for making sure that anyone reading your message can click anywhere, sometimes they can become distracting.

You can remove any unnecessary formatting altogether by leaving the recipient's browser style settings intact. Email providers typically strip away extraneous tags and styles to display your email in its entirety. By doing this, you allow others to read it however they wish.

Lastly, give yourself room to breathe. As mentioned previously, brevity counts, and longwinded emails rarely serve the purpose. An email doesn't require a full page worth of dense prose. Instead, focus on communicating effectively and efficiently.

Why subject lines matter

A successful campaign starts with a catchy headline. According to Campaign Monitor, 80 percent of consumers scan through their email client's preview pane before deciding whether or not to open a given message. Therefore, it makes sense to give attention to email subjects. However, while headlines play a major role, so do titles below the fold. Keep it simple yet informative. Make sure the phrase is relevant to the purpose of the message. Don’t cram too much detail into the subject line. Instead, leave enough room to capture reader interest. Use descriptive words to describe products and services. Try incorporating action verbs.

Additionally, don’t fill the subject line with unnecessary fluff. Too often, marketers end up filling subject lines with terms like happy holidays, thanks for joining, enjoy shopping, congratulations, welcome aboard, thank you for subscribing, among others. Forget about fancy fonts, graphics, colors, images, tables, charts, and numbers. Just like the above mentioned guidelines, avoid stuffing text full of keywords. Most spam filters tend to flag texts stuffed with excessive language and jargon. Be careful of using acronyms and abbreviations. Although these types of words carry less weight than plain English, they still might trigger certain devices. Additionally, be mindful of capital letters. Capitalizing rarely helps generate clicks and leads. At least, not in general.

Avoiding typos and misspellings is also crucial to ensuring customer satisfaction. Customers expect clear communication. Misspelled words, grammatical errors, and poor punctuation cause confusion and frustration. When drafting names, pay close attention to spelling and grammar. Lastly, double-check for consistency across all communications. Ensure everything looks consistent, regardless of device used.
