When we're writing emails and letters, there are times when it's helpful for us to send the message out to more than one person at once — even if they aren't all in the same department, division, organization, etc. But what happens if your list of recipient is longer than two or three names? How should you go about addressing them properly?

It isn't too hard to figure out who to add on top of a short list of people, but sometimes sending the same email to 10 different groups can be a bit more difficult. Here are some tips that will help you compose a professional-looking email (or letter) to any number of recipients without missing anyone off your original list.

How do you address an email to a group?

If you have several people from the same company on your list, but their titles don't line up exactly, this might present a challenge. For example, let's say Mary Smith works as an assistant manager while John Doe has his own office with no other employees. You want to write something nice to both of these folks, so you could just use "Dear Ms. Smith" and "Dear Mr. Doe," right? Not so fast! First, make sure you know which name goes where by looking through their profiles until you find someone whose title matches theirs. If not, try adding a modifier like "Also Known As." In our case, since he doesn't report directly to her, you would type "Dear Ms. Smith Also Known As Assistant Manager" and "Dear Mr. Doe" into Gmail respectively. Then follow those up with a simple greeting ("Hi!"). Now you've addressed everyone correctly.

But what if you need to include several members of the same team in a single email? This also presents its own unique challenges. Let's take a look at how to handle this situation below.

How do you address multiple recipients?

First things first, you'll probably want to start with "To:" rather than "CC:" because CC stands for carbon copy. That way, each individual gets an alert whenever another party receives your email via their inbox. It helps ensure that nobody misses anything important. Once you get past that hurdle, here are some guidelines to keep in mind.

The easiest thing to remember is to put yourself in the shoes of one of the recipients. Who should you greet first? The most senior member of the group is generally best served last.

That said, you may not always be able to accommodate everybody equally well, especially if you only have room for five or six recipients in total. So instead of making everyone wait forever, consider using numbers to indicate priority order. Try numbering your additions alphabetically starting with A1 for the highest priority contact. Then, simply refer to the next available spot as A2, A3, and so forth down the line.

Another option is to sort your contacts into categories based on job function. Maybe you work in sales and marketing, then finance, accounting, operations, and legal departments. By sorting them into logical chunks, you give yourself a chance to think of whom to approach first depending on the nature of their position. And if the process was done ahead of time, you won't forget anybody after your initial draft.

A few final quick notes: Don't use "Mr., Mrs.," unless you're talking to somebody of equal status. When in doubt, ask around. Nobody wants to feel left behind or unimportant. Keep everything friendly and informal. No capitalization needed. Finally, never assume gender roles within a business structure. Just because she wears pants does not mean she's automatically entitled to respect over a man wearing suits.



How do you address multiple seniors in an email?

Email etiquette rules apply, but you must also realize that there are certain situations when you may need to treat older colleagues differently. One such scenario occurs when you're sending a note to a small committee of managers. These guys typically hold higher ranks than the rest of the staff, so you'd naturally direct your words toward them accordingly.

For starters, pay attention to tone. While you absolutely want to sound respectful, you shouldn't stoop to groveling or fawning either. It's okay to show appreciation, but not overly obsequiousness. After all, you were hired to fill a specific role and you owe your superiors every ounce of effort you produce. At the same time, however, you still need to maintain enough distance between yourself and your elders that you aren't perceived as being beneath them.

Next, try to anticipate questions regarding topics outside your realm of expertise. Before you hit Send, prepare answers for common queries, keeping in mind that you may need to step in occasionally to answer basic inquiries. Above all else, stay upbeat and positive. Never underestimate the power of humor to lighten the mood among coworkers.

And finally, never ever cc: your boss. He already knows everything going on in his domain and needs to see updates only as necessary. Any additional copies serve only to clog up his inbox. Instead, stick to BCC: him.

How do you address a letter to many recipients?

Letters, like emails, often involve larger lists of recipients. However, unlike emails, which tend to be shorter, letters tend to contain much more information. They require greater care and consideration, and you want to avoid falling victim to sloppy mistakes or oversights.

So before you begin composing your missive, make sure you've got plenty of space. Aim to strike a balance between formality and brevity. With a little practice, you'll be ready to tackle any large volume of correspondence with confidence.

Here again, you may wish to separate your contacts into functional categories. Again, think of your audience beforehand. Are they mostly upper management or rank-and-file workers? Is there a clear hierarchy among them? Where possible, decide which section holds the most authority and assign each individual a place in accordance with his stature. Be careful though -- don't fall prey to the temptation to label people arbitrarily. Take extra precaution if the group includes men and women because it can quickly become confusing if you insist upon gendered labels. Some companies call this double-bunking, whereby female co-workers end up lumped together under "female" sections whereas male counterparts belong to "male" sections. Avoiding this pitfall requires constant vigilance.

In general, pick a style and adhere to it consistently. Do not mix up formalities and informality throughout a document. Even if you personally prefer one format, please don't force others to suffer through a mishmash of inconsistent formats.

Finally, you should aim to minimize redactions. Redacting refers to removing portions of text that reveal sensitive personal data in order to protect privacy. Whenever possible, leave the editing to others. Your goal is to deliver the clearest version of the truth to your readers.

For example, let’s say you work as a manager and you need to write an email to three other employees about something important. How would you go about addressing each recipient individually, while also keeping their names consistent throughout the message? Here are several ways to do exactly that.

How do you greet someone in an email with 3 people?

When writing an email to more than two people, it's good practice to keep the person's name consistent throughout. However, sometimes you may be greeting someone by first mentioning another individual in the same group. In these cases, make sure to include both individuals' full names. So, if John Smith is mentioned before Mary Jones, then you should always mention Mary Jones' full name along with her title in reference to John Smith. This will ensure that no confusion occurs later when reading the email.

If you are including only two people in your email, it's perfectly acceptable to skip using the second person's full name and simply call him/her "my friend." The reason behind this is because it's assumed that you know who he/she is already. If you were actually trying to introduce them, then you'd probably put his or hers initials next to their name instead.

Now that you understand what constitutes as appropriate usage, here are examples of how to properly greet someone with various scenarios.

Example 1: Greeting a coworker with whom you usually talk every day.

John: Hey [Name]! Good morning, my dear friend! :)

Mary: Hiya, my man! Long time no see. How are you doing?

Example 2: Greeting someone whose name you might forget.

John: Hello, my dear friend! Hope you had a great weekend! :)

Jane Doe: Hi, Jane! Thanks for asking! We went camping over the long holiday weekend...

Example 3: Greetings between friends.

Bill: What up, bruh?

George: Yo, George! Tell me boy, where did you find those sneakers?! They look sick, yo!

Jackie: Yeah, yeah, sorry Bill. Gotcha. That was pretty funny yesterday.

To recap, the correct way to address anyone listed within the text above would be to include their entire name, whether it includes additional characters such as Mr., Mrs., Ms., Dr., Professorial Assoc., or anything else. Also, you can choose any format you wish for greeting someone from the list below. Just remember to keep consistency throughout the email.

However, if you feel uncomfortable using certain words, phrases, or abbreviations, you can always refer back to the previous section of this article explaining how to address someone whose name you might forget.

How do I start an email to many recipients?

The best way to greet multiple people and maintain consistency is to start off by listing their names once in the body of the email, followed by their titles — i.e., CEO, CFO, VP, Director, Manager, Secretary, Associate, Intern, Student, Teacher, etc. Then, add a comma and separate each subsequent name with an open parenthesis. Finally, end the sentence with a period.

For instance, in the following email, notice how I included the recipient's name right after she's introduced, which makes sense since I'm referring to her specifically. By starting off by introducing her, I'll never run the risk of forgetting her name later on.

Hi Kelly, hope you had fun celebrating St. Patrick's Day with us today. Thank you again for volunteering your time and effort to organize everything for the event. Please hold onto your blue polka dot t-shirt for tomorrow night, and we'll pick yours up during happy hour. And please bring extra cash so that we can tip the DJ $20 per song. On behalf of all the folks involved with planning tonight's festivities, thank you very much! Have a wonderful week ahead filled with lots of laughter, love, joy, and happiness. Your Friend Forever, Maria

Here's why ending an email with periods works better than commas: Comma separates items, whereas period ends sentences. Therefore, adding a period doesn't interrupt the flow of the conversation, unlike inserting a comma does. This means that even though the recipient reads the lines separately, they form one coherent thought together, rather than being broken apart.

Also, remember to avoid capitalizing the final word when beginning an email to multiple recipients. Otherwise, you won't sound professional.

How do you greet many people in a formal email?

There's nothing wrong with writing a simple "Dear Sir(s)" or "Respected Sir(s), As part of the Human Resources team," whenever possible. However, if you're working in a position requiring you to send out official correspondence, such as a professor, boss, supervisor, HR representative, department head, etc., you must take some extra steps to show respect for others.

First, you should remove yourself from the equation altogether. Instead of thinking about yourself, think about them. Focus on making them comfortable and respected. Once you accomplish that, follow the aforementioned guidelines for addressing someone in general.

Next, determine the tone of your email based on the type of relationship you share with the person receiving the email. Is it friendly, casual, or professional? Keep in mind that different types of letters require different tones. For example, you wouldn't want to approach a client with a smiley face sticker attached to your signature, regardless of its nature.

Finally, be mindful of how quickly you respond. Don't react too hastily to what they said. Take your time to formulate thoughtful responses, especially if the discussion has little bearing on your job performance. Allow enough time for feedback and questions.

Remember that you are representing your organization, so never underestimate the power of brevity. No matter how difficult it might seem, try to limit your response to four short paragraphs maximum. When done correctly, this method allows you to convey your thoughts clearly and efficiently.

How do I send an email to multiple recipients without them knowing?

This technique requires a bit of creativity and innovation. First, decide upon a subject line that corresponds directly to the topic discussed in the email. Next, identify the point of the email and structure accordingly. Use bullets wherever possible to break down lengthy points. Lastly, proofread thoroughly and pay attention to spelling, grammar, punctuation, and formatting.

Once you finish drafting your email, copy and paste it into WordPad or Notepad. From there, save it as a.doc file. To disguise your real identity, rename the document to something random, such as "Letter_to_Bob_from_Sally.docx." Open up the document and delete the original content completely. Now, replace it with placeholder text, and fill in bullet points to break up longer sections. Make sure to change the font style to match the rest of your documents. Save the newly renamed document as "Final Document.doc."

Lastly, create a brand new document titled "Cover Letter.pdf" and insert your cover letter at the top. Type in your fake name at the bottom left corner, and edit the contents of the page to reflect what the actual sender looks like. Print out copies of the documents, sign them, scan them, and attach them to your email. Hit Send, and watch your inbox explode with replies.

With a few tweaks to your workflow, you can easily send a generic email to dozens of coworkers. Remember to treat others how you would like to be treated. After all, isn't that what professionalism is all about?

Whether it's via text message or through a private messaging app like WhatsApp or Signal, we often find ourselves wanting the option of sending our thoughts out to multiple people all at once.

Unfortunately, this is not always possible — especially if those people don't have access to one another. But with some clever trickery, you can still get around this problem using technology! Here’s what you should know about mailing someone who has several contacts saved on their phone.

When you send an email to multiple people can they see?

If you're wondering whether you can add additional recipients without alerting the intended recipient(s) first, the answer is yes (at least as long as your recipients use Apple devices). However, the only way for these new recipients to receive your email is by opening up the Mail app themselves and manually adding your contact info into their "contacts." This method works because most Apple users will save their Contacts page within the Phone app itself. Once you've added your contact information to the correct entry under the Other section, you'll be able to copy-and-paste your email right onto the top of the Contact Info box.

This is helpful if you already have a lot going on while trying to manage dozens of different tasks throughout the day, but it doesn't give much flexibility. If you wanted to send an email directly from Safari, say, then you would have no choice but to open up Mail yourself. It might seem annoying, but sometimes you just have to deal with it.

However, there is hope! You may also notice that whenever you click on More Options... next to a given recipient's name, you'll automatically be taken to their respective iPhone/iPad settings menu where you can edit their contact details. So, if you were hoping to change your mobile number, you could potentially bypass having to reach out to said person directly and instead update his or her profile through the same Settings screen.

For example, let's imagine my friend John wants me to call him later today. Normally, he'd pull up his contacts list and start typing my cell number into the search bar. Then, he'd select the contact card that matches my actual phone number, which happens to be 617-555-1234. From here, he could tap Edit Details and enter a new home telephone line. That's great—but now what? He won't actually remember to tell me before calling unless he sees my own contact information listed above mine. Now, if John had previously updated his iCloud account under Account Settings & Privacy > Cellular Data Options, then he could simply choose Add Another Email Address and type in my new cellphone number. Instead, however, he probably hasn't changed anything yet since his current cellular provider is giving him free service.

In short, you're stuck relying solely upon whatever default options your chosen smartphone manufacturer provides. And even though iOS gives us a little bit more freedom, it's still pretty limited compared to Android, which allows you to set up alternate numbers straight from your Google Contacts page.

So why does Apple limit its user base so severely when competing platforms allow you to add extra accounts in seconds? The fact remains that iPhones require manual input from the enduser, whereas Android lets third parties handle everything behind the scenes. For example, if you're looking to replace your carrier with Verizon Wireless, you can download the MyVerizon app and link any two existing Verizon SIM cards together. Doing this takes mere minutes, and after setting up both phones you'll be able to make calls over Wi-Fi, Bluetooth, LTE, etc., all from one central location. On Android, you can swap carriers or providers in less than 10 seconds. No paperwork required!

As such, if you happen to own an iPhone, it's best to keep things simple and stick with whichever company handles your cellular data plan. Otherwise, you're left scrambling to figure out how to create multiple entries for the same contact.

It gets worse. Let's assume you live alone and are worried about being stalked by unwanted visitors. In order to protect against anyone snooping outside your window, you decide to install a security camera system. After purchasing a DVR, you plug in a motion sensor unit and place it underneath your bed frame. When you check the footage later on, you discover that somehow your cat managed to knock off the entire faceplate during the night. Naturally, you rush down to Home Depot to buy a replacement part. Upon returning from the store, you realize that you forgot something crucial back at your apartment. What do you do? Well, if you're lucky enough to own an old flip phone, you simply dial up customer support at 1-800-FlipPhone and ask them to connect your device to the web. They'll walk you through replacing the missing piece and making sure the whole thing fits properly again. Unfortunately, smartphones aren't quite as straightforward —especially older models.

Of course, you could try installing Face ID or Touch ID, but if either feature fails, you won't necessarily be able to log into your phone to restore it to factory defaults. Without the ability to reset your password or erase sensitive files, you might find yourself locked out of your own device until tech support arrives. Also, if you ever lose your device and someone else manages to steal it, well, good luck explaining to whoever finds it exactly what happened! Not fun.
