How much does it cost to implement HubSpot?

How much does it cost to implement HubSpot?

If you're looking at implementing an enterprise-level CRM tool, there are many things that will come into play as far as price goes. The size of your company, how complex your current infrastructure is, what sort of technology skills you have in place — all these factors go towards determining just how expensive setting up or expanding on HubSpot could be.

But we should also take into account other considerations when talking about pricing. One such consideration might be whether or not you even need to pay for HubSpot at all. In this article, I’m going to talk about some of those questions surrounding the costs involved with using HubSpot by comparing its prices versus competitors like Salesforce.

Do you need to pay for HubSpot?

The first thing that comes to mind when thinking of HubSpot's pricing structure is probably "Why would anyone ever want to pay $50 per user?" And while that initial question may seem quite harsh, it actually turns out that if you dig deeper you'll find yourself wondering why companies don't already know their answer before they start shopping around for software solutions. If you've never used HubSpot before, here's what sets it apart from alternatives.

HubSpot has been designed specifically around helping businesses manage relationships better through effective lead nurturing, followup, and client retention strategies. This means that rather than having multiple systems working in parallel (like email campaigns followed by phone calls), HubSpot allows users to move information seamlessly between devices and channels in order to maximize efficiency.

This same approach works across both B2B and consumer products, so you'd likely see similar benefits regardless of which type of business you run.

In addition to being more streamlined overall, HubSpot offers more flexibility than other vendors thanks to its built-in analytics capabilities. For example, unlike most other platforms, HubSpot doesn't force you to choose one particular channel for each contact record — instead, you can set up different profiles within the system based on who needs to receive updates via text message, call center agents, etc. You can assign specific messages depending on who receives them, and then track everything over time without missing any important data points.

These features are available to everyone, but they become especially useful for small teams trying to make sense of large amounts of incoming leads. They allow you to effectively prioritize tasks and identify bottlenecks in operations so that you can improve processes. At the end of the day, this results in higher conversion rates and happier customers.

Another factor worth considering is that HubSpot was created specifically with entrepreneurs and smaller startups in mind, meaning that it's easy enough for nontechnical people to understand. Unlike larger players like Oracle and SAP, HubSpot isn't made mostly of complicated formulas and algorithms. Instead, it uses simple language, clear charts, and intuitive graphics to outline exactly what problems it solves for various industries.

Overall, HubSpot makes it easier than ever for groups to work together more efficiently because it puts a priority on making sure that every team member knows what they need to do next — no matter how big or small.

How much does it cost to use HubSpot?

As mentioned above, the biggest difference between HubSpot and other enterprise-grade CRMs is the way that it handles communication. But another significant difference is the fact that HubSpot is only charged monthly fees, whereas traditional SaaS programs usually require annual payments. That said, even though HubSpot is pricier upfront, it ends up costing less money over the course of a year compared to other options.

When you look at the total sum of expenses associated with running a typical software solution, including maintenance contracts, support, upgrades, and additional services, it becomes apparent pretty quickly just how expensive it is to maintain old hardware and software.

For example, let's say that you currently run Microsoft Office 365 ProPlus. A single license for Word costs $9 per month, Excel costs $8 per month, PowerPoint costs $6 per month, and Outlook costs $10 per month. Over the span of a year, that adds up to more than $1,200! Not to mention the hundreds of dollars spent annually on IT professionals just to update operating systems and security patches, along with the thousands of dollars spent maintaining servers.

On top of all that, the average productivity loss caused by downtime due to technical issues averages anywhere between 11% and 20%, according to research conducted by Gartner. So imagine adding in the time wasted waiting for fixes after a glitch occurs, plus whatever else happens during a given week. All told, it's safe to assume that your organization spends tens of thousands or maybe even millions of dollars per year dealing with tech troubles.

By contrast, HubSpot lets you access its premium service at no charge. Even if you decide to upgrade later down the line, you won't face steep fees like you would otherwise. Another advantage to HubSpot is that its subscription plans vary slightly depending on what industry you're targeting, but in general the standard plan starts at $19 per month.

That figure includes unlimited storage space, customizable branding, integration with third-party applications, custom forms, and templates, as well as the ability to create new accounts directly through the website. There's also a starter package that gives you 50 contacts included for free, and full functionality starting at $49 per person per month.

While HubSpot definitely takes longer to learn than simpler solutions, its comprehensive reporting tools mean that you can easily monitor trends and analyze performance metrics to help inform future decisions. With its flexible payment terms, it's possible to save money over time even if you opt to stay with the basic version.

Because you aren't paying extra for extras, HubSpot is able to offer competitive deals on dedicated hosting, insurance against server failures, and 24/7 live support. On top of that, you can benefit from ongoing education whenever necessary — something that's often difficult for smaller firms to provide on their own.

What do you get free with HubSpot?

Not surprisingly, HubSpot includes robust collaboration tools for internal communications, but aside from that, there's really nothing else that stands out about its free offerings. However, since HubSpot prides itself on providing plenty of value for minimal cost, there's still plenty to explore if you spend a little bit of time investigating the feature list. Here are a few examples.

You can import existing customer lists from LinkedIn, Facebook, Twitter, Google Contacts, Yahoo Mail, Gmail, Outlook, Zoho, Xero, and others, thus letting you build your database faster. Once you've got them in place, you can begin creating automated outreach sequences that connect with potential clients right away.

Aside from emailing prospects directly, you can send emails to entire mailing lists, too. When someone opens your message, you can view their demographics and recent activity. You can even attach files to encourage action.

It's also easy to integrate HubSpot with external sites like Zapier, Mailchimp, Amazon Web Services, Slack, GitHub Pages, PayPal, and YouTube. Doing so ensures that your content gets delivered consistently and securely throughout your workflow.

Finally, HubSpot integrates nicely with popular apps like WordPress, Drupal, Joomla, Magento, Shopify, WooCommerce, OpenCart, PrestaShop, Zen Cart, Oscommerce, Big Commerce, Cloudways, Easy Digital Download, and Duda Core. Using these integrations gives you the option of sending visitors straight to your online store, allowing you to boost conversions significantly.

How long can you use HubSpot for free?

There are two ways to think about this question. First, consider what kind of budget you have to allocate toward a purchase decision. Second, remember that HubSpot is good for several years, and if you stick with it, you'll eventually reap the rewards.

Let's break it down. Since HubSpot is priced similarly to cloud providers like Dropbox, Evernote, Google Drive, and Box, most organizations will feel comfortable staying with the free tier indefinitely unless they absolutely need to scale up. As far as budgets go, HubSpot charges roughly 60 cents per transaction, giving you ample room to grow.

Based on our experience, you shouldn't expect to rely heavily upon HubSpot's free services until you reach the point where you're ready to switch over to the paid side of the fence. After all, it took us approximately three months to hit that milestone, and we were previously using a competitor called InfusionSoft.

However, once we did convert, we realized that HubSpot was capable of handling all kinds of projects ranging from personal web development to managing massive eCommerce stores. Its interface is clean and straightforward, and it provides tons of resources to aid in growth. Plus, it's relatively inexpensive to host.

If your business is looking for software that allows you to manage all aspects of your digital presence, then HubSpot might be right for you. The company offers an array of products including CRM (customer relationship management) solutions, email marketing platforms, website builders and professional services.

It’s easy to see why so many businesses choose HubSpot as their go-to solution. However, what about its pricing structure? Is there any way we can find out how much implementing HubSpot will actually cost us? In this article, I'll explain everything you need to know about the price points associated with HubSpot's various offerings.

What are these prices based on? HubSpot’s own estimates or those provided by third parties? Or something else altogether? If you're interested in finding out more, read on!

How much do contacts cost in HubSpot?

The first thing you should consider when thinking about using HubSpot is whether you want to pay per month or annually. As far as contact management goes, both options work well.

Paying monthly means you only pay one fee each year instead of paying every time someone signs up for your product. This option works best if you don't plan to use HubSpot forever. Annual payments also let you spread costs over 12 months rather than having them pile up at once. Plus, they make billing easier if you decide to change providers later.

On top of that, if you sign up via annual plans, you get access to discounted rates — which makes sense considering most companies offer yearly subscriptions to their products. For instance, while HubSpot starts at $49/month, the same package would set you back $399/year if purchased through this method.

You may wonder whether signing up for HubSpot's premium version will affect your overall budget. While it doesn't increase your total bill, you still end up spending less money since you no longer have to buy anything extra like ebooks or other add-ons.

In terms of cost breakdowns, HubSpot charges different amounts depending on whether you opt for the standard edition, pro account, enterprise level or support level. Here's what you can expect from each type.

Standard subscription: $69/user/mo.

Pro subscription: $99/user/mo.

Enterprise subscription: $199/user/mo.

Support subscription: $299/user/mo.

As you can see above, there isn't too much separating one tier from another. You just need to figure out which features suit your needs best.

For example, if you'd prefer not to create multiple user profiles but aren't concerned about advanced integrations, the Standard Edition should suffice. On the contrary side, if you frequently collaborate with partners who require special permissions, you could benefit from higher tiers.

Another factor worth mentioning is HubSpot's tiered payment system. To put simply, users can either subscribe to HubSpot under individual purchase agreements or take advantage of group discounts offered by certain organizations. These deals come with some restrictions though; for example, they must involve government entities, non-profits or similar groups.

One last important detail is that the number of users included in a particular deal varies from case to case. Some packages feature unlimited devices, others limit you to five gadgets. So before shelling out cash, check if your specific situation falls into the former category.

How much do additional contacts cost in HubSpot?

Let's say you've decided to adopt HubSpot after reading my previous section. Now, you're curious about two things: how much it costs to expand beyond 5 employees and how many additional people you can include in your team without breaking the bank.

First off, here's a quick recap of HubSpot's limits regarding employee numbers. Once again, the differences between versions are negligible.

Users: Unlimited

Contacts: 10k / mo.

Additional Contacts: 2k / mo.

Total Contacts: 15k / mo.

With respect to teams, HubSpot lets you assign separate roles within your organization to everyone involved. That said, you shouldn't count heads indefinitely unless you really need to. After reaching 15 individuals, HubSpot caps new additions to avoid abuse.

To break down the math further, let's assume you want to incorporate eight people onto your team. With the Enterprise tier, this won't exceed 15,000 contacts per month.

Now, let's discuss what happens if you want to reach 20 staff members next quarter. Since the cap applies even if you enlist fewer people during a given period, you'll receive an automatic warning after completing 19,999 tasks.

Once you hit that mark, you'll have to wait until March 2021 before adding anyone else. And yes, the process repeats itself throughout the rest of 2020 as well.

However, if you're okay with sticking to 18 people until April, you won't incur any penalties. Similarly, if you want to stay below 25 people, you'll likely save yourself hundreds of dollars in the long run.

Keep in mind that HubSpot gives you full control over quotas whenever you wish. Therefore, feel free to adjust them according to your preferences and goals. Just remember to stick to the rules outlined above otherwise, you risk getting penalized.

Finally, HubSpot keeps track of the amount of data used by each member of your team. From now on, you can easily visualize consumption trends across different departments.

Here's how that looks like:

This information helps identify areas where resources can be reallocated towards better results. Moreover, you can review usage reports to spot potential problems sooner rather than later.

How many contacts can you have in HubSpot free?

While HubSpot offers plenty of useful benefits, it's impossible to overlook the fact that you can't host unlimited clients on its platform. Fortunately, the company created several tiers aimed at helping small businesses overcome such limitations.

Below are brief descriptions of each of HubSpot's primary plans. Keep in mind that the names "standard" and "pro" refer to the aforementioned tiers' capabilities.

1.) Free Plan

Free accounts allow you to connect three users with limited functionality. Users can perform basic actions like creating leads, setting appointments, uploading documents and sharing files.

2.) Starter Plan ($29-$39/mo.)

Starter accounts provide a decent foundation for smaller enterprises, letting you handle up to 100 contacts per month. They also give you access to Basic Contact Management features, such as lead generation tracking and automated follow ups.

3.) Pro Account ($59-$79/mo.)

Like starter plans, Pro accounts allow you to connect 300 contacts per month. Unlike the latter, however, you can integrate additional apps as part of your setup.

4.) Business Class ($89-$119/mo.)

Business Class subscribers enjoy increased flexibility, allowing them to customize their setups as needed. They can create customized dashboards, monitor performance metrics and analyze campaign effectiveness.

5.) Enterprise Level ($129-$149/mo.)

HubSpot's highest tier provides extensive integrations with external systems and tools. Additionally, customers can use this service to grow exponentially.

6.) Support ($179+/mo.)

Lastly, there's the Support Package designed specifically for larger organizations. Subscribers have access to real-time tech support, 24x7 technical assistance and dedicated project managers.

How much does it cost to send emails from HubSpot?

If you use HubSpot mainly as an email provider, you probably already know how much it costs to send mailings from your inbox.

In short, HubSpot charges $0.005 per successful delivery and $0.01 for failed ones. Of course, this rate increases if you opt for the enterprise editions.

So what kinds of promotions can you send with HubSpot? Anything goes, as long as it adheres to the guidelines mentioned earlier.

For some businesses, their digital strategy is an afterthought or just not on their radar at all. But for those that are able to develop one from scratch, there's no doubt they've seen how this process can be streamlined through automation.

In fact, many companies have already adopted key tech like cloud computing, but what about business software such as CRM (Customer Relationship Management) systems? While most of these platforms use email as its main communication tool, HubSpot aims to change that by making your interactions more efficient.

The company behind HubSpot offers online collaboration features via workflows -- essentially automating tasks with pre-built templates. You could say it’s the easiest way to manage relationships in your small business. And if you're interested in learning more about HubSpot, we spoke with the team who helped us understand how easy it really is to get started using the platform.

Here, we'll learn everything you need to know about implementing HubSpot into your organization.

How long does HubSpot take to implement?

HubSpot takes approximately three months to implement. This includes planning time, training sessions, onboarding new employees, integration with other services and so on. If your current IT department is fully capable of supporting any changes, they may only require two weeks worth of preparation. The biggest challenge often comes when multiple teams within an enterprise want to use HubSpot. In these cases, implementation times will vary depending on your specific needs.

Once you decide whether you want to go ahead with the project, HubSpot provides a detailed plan that shows estimated timelines and costs. They also provide resources and technical support throughout the entire process.

What happens during the first phase? What should I expect? How do I choose which products/services to start with?

During the initial phase, HubSpot works closely with your existing IT staff to determine how best to deploy HubSpot across your network. Once the hardware is set up and functional, teams begin testing out HubSpot internally before moving onto integrating with third parties.

Depending upon the size of your business, HubSpot recommends starting off with either Email Marketing Automation or Customer Engagement Suite. These packages come with several core capabilities including lead management, social media messaging, website analytics, etc.

You can choose between monthly subscriptions or pay-per-use options based on your requirements. For example, if you don't intend to make heavy usage of certain modules, paying per user might be better suited for your budget.

If you think you would benefit greatly from HubSpot, here are some ideas on how to find the right solution for your business:

1. Make sure you identify gaps in your own system. Before embarking on a major upgrade, figure out exactly why you want to move away from your present setup. Gaps in functionality happen because of different reasons like lack of data storage space, outdated technology and poor interdepartmental coordination. By identifying them early, you save yourself valuable time and money down the line.

2. Know what you hope to achieve. Are you looking to streamline processes or simply improve efficiency? Do you wish to build stronger connections with clients or increase productivity levels? Determine your primary goal(s), then narrow down possible solutions and vendors accordingly.

3. Hire advisors with extensive industry knowledge. Talk to representatives from various industries to find out which ones were successful in achieving similar goals. Also, check out reviews and testimonials from users.

4. Don't hesitate to ask questions. There's nothing worse than investing tons of time setting up something only to discover later that it doesn't meet expectations. Be clear about your preferences and concerns beforehand, and see if you can speak directly to someone from the product development team.

5. Find out if potential partners offer free trials or demos. Most brands offer trial periods for their premium offerings. Take advantage of this opportunity to evaluate the service without committing anything upfront. Afterward, you can opt for subscription plans if you'd prefer.

6. Compare prices according to your unique situation. Some providers charge extra fees for every additional module while others include basic functionality as part of the overall package. A good option would be to compare pricing models side-by-side and select whichever suits your circumstances better.

7. Look for partnerships with established players. Bigger organizations usually partner with reputable startups since doing so helps differentiate themselves from competitors. Plus, partnering with HubSpot means getting access to proven expertise.

8. Check out integrations offered by HubSpot. One of the advantages of working with big firms is being able to tap into their vast resources. This allows you to leverage their experience and skillset while reducing operational expenses. Similarly, HubSpot brings value to customers by offering seamless connectivity with popular apps.

9. Understand the limitations of HubSpot. Like any other modern technology, HubSpot too has drawbacks. As such, you must weigh pros and cons before choosing to adopt it completely. Here are some things to consider:

a. Data security cannot be compromised under any circumstance. Therefore, you must ensure proper encryption techniques are used whenever necessary.

b. No room for errors or typos. Errors made while typing messages or entering information manually tend to slip past quality checks. Such mistakes can affect productivity, brand reputation and even client satisfaction. Avoid this pitfall by employing built-in autocorrect functions.

c. Reliability issues affecting performance. Sometimes, users run into problems due to faulty infrastructure. Ensure that your internet connection is stable enough to handle peak traffic loads. When selecting a provider, look for references from satisfied customers specifically mentioning reliability.

d. Lack of customization flexibility. Since HubSpot was designed primarily for enterprises, it lacks personalization options. To address this shortcoming, HubSpot introduced customizable themes. Users can now customize visual elements of the interface as per their preference.

e. Expensive upfront payments. Unlike smaller players, larger corporations can afford to spend huge sums on expensive equipment, servers and consultants. However, this isn't feasible for everyone given our uncertain economic climate. Hence, you should try to avoid spending large amounts unless absolutely required.

f. Complexity involved in migrating existing databases. Depending on your workflow, migration can become challenging especially if you rely heavily on legacy systems. HubSpot tries to simplify this task by providing migration guides. Apart from saving time, these documents help reduce human error.

How long does it take to integrate HubSpot?

Integration plays a crucial role in ensuring smooth operation. Unfortunately, most people aren't aware of how complex this step actually is. So, let's explore how HubSpot helps speed up this procedure.

When building a workflow, HubSpot automatically creates separate folders. Each folder contains files from both sides of the equation i.e., content created by internal employees and external sources. Then, each file gets assigned a particular status. Files that haven't been modified for over 24 hours get moved to archive mode. Any updates subsequently added tend to bypass the queue.

Also, once HubSpot detects modifications to previously approved flows, it immediately pushes all pending changes to production. From here onward, developers take care of updating relevant codebase, adding missing fields and fixing bugs.

As mentioned earlier, HubSpot uses GitHub for version control purposes. This makes merging codes easier and faster. Internal collaborators can view realtime activity reports generated by the system. All versions of files uploaded to GitHub stay available indefinitely. Thus, you never worry about losing important revisions again.

How do you implement HubSpot?

To get started, contact your account manager. He/she will guide you through the entire process starting from creating a workspace to designing custom themes. Afterward, you can follow standard procedures to complete the rest of the steps.

Below are the most common actions performed by end-users:

1. Create accounts.

a. First, register to create an account on HubSpot Cloud Platform. Next, log in and click Get Started. Enter your name, mobile number, e-mail ID and password. Remember to confirm your phone number by clicking Verify Mobile Number.

b. Follow instructions displayed on screen until you reach the Sign Up page. Now, enter billing info and payment method along with credit card details. Finally, accept terms & conditions by checking Agree box. Now, hit Continue and proceed further.

c. On completion of registration, your profile appears on home page. Click Edit Profile " Change Password to update your credentials.

2. Set up Workspace.

a. Navigate back to homepage and click Start Workflow button located next to Welcome Message. Select New Project followed by Choose Template and Give Folder Name. Hit Done.

b. Your newly created workspace shows four icons: Dashboard, Calendar, Kanban Board and Tasks. Drag and drop widgets of your choice to configure your dashboard layout. Alternatively, you can add items individually via Customize Widget section.

Click Save Settings to apply your preferred theme settings.

3. Add Business Users.

a. Go to Homepage and scroll down till you locate My Companies list. Click Manage List.

b. Enter username and password associated with your corporate login. Now, click Update User Details. Confirm updated records by hitting Submit. Repeat this action for remaining users.

4. Integrate Services.

a. Log into HubSpot Cloud Console. Click +Add Service Integration.
