And secondly, every time anyone enters information into our forms, they get automatically notified to us via email. This means we have instant access to their responses which also gives us insight into who our target audience may be.
Here's where Form Builder comes in handy. If you already use HubSpot CRM software, then you've likely noticed that whenever you send emails over to contacts, those recipients will receive automatic follow ups reminding them about upcoming events or product launches. Now imagine if HubSpot sent similar automated notification messages whenever someone filled out one of your forms instead? Wouldn't that be incredible?!
In order to accomplish this goal, we'll make sure to add some custom fields within each form so that once the user hits "Send," our system knows whether it should send the message right away or wait until later. Then, we'll simply take advantage of the built-in scheduler function that sends these forms out periodically throughout the day according to a schedule we determine.

Where do HubSpot form submissions go?
When sending out a form through HubSpot, there are two ways for people to enter data into your forms. You could either type directly onto the webform itself, or upload files using the file attachment option. So let's say your event registration form asks for personal details but doesn't include room numbers. Instead of typing these manually, the easiest way would be to attach a spreadsheet containing all of the pertinent information.
First things first, log into your account (if necessary), click on Forms under My Dashboard. In the upper left corner of this screen, you'll see a list of available templates. To select a template, just hover over it and look for the green button labeled Select Template. When selecting a specific template, be sure not to accidentally pick another template entirely.
Once selected, the next step is to choose which section(s) within the template you want to modify. Let's assume you only wanted to change the Event Registration part of the template. Once you click on Edit Section, you'll see several different options pop up. From here you can edit text boxes, images, buttons, tabs, charts, tables, and more. Just keep in mind that anything outside of the standard field types isn't supported. However, you can still upload documents, photos, videos, spreadsheets, and other media using the Attach File button.
For instance, let's say you want to display multiple pictures within your form. On the image tab, scroll down until you see the Upload Files section. Clicking this icon opens up a popup window allowing you to browse your computer for a photo. Next, open up the picture you'd like to insert and hit Open. Finally, click on Choose Photo below the box. Your uploaded photo will show up within the form after hitting Send.
Now that you understand how to customize templates in general, lets move onto setting up form alerts.
How do I find form submissions?
The best place to search for submitted forms is through your HubSpot inbox since the link attached to form requests will always appear within the body of your response email. Each incoming request includes helpful information including date/time stamp, recipient name, subject line, and comment area.
To view all recent submissions, head back to your dashboard and navigate to the Forms tab. Under Recent Submissions, you'll see a calendar displaying dates upon which certain forms were recently sent. Simply click on the desired date range to review all submitted records. This is especially useful for identifying patterns among clients who fill out the same forms repeatedly. It might be worth noting that you can filter results by clicking on View Filters next to the Calendar heading.
Another great resource for finding form submissions is the Reports tab. Within this section, you'll see many reports related to various areas of interest. For example, if you prefer to track leads rather than form submissions, navigating to Leads Overview will reveal all instances where someone entered data into your form. Likewise, if you wish to focus solely on forms, select Only Submit History underneath the header titled All Records.
As mentioned earlier, anytime someone completes a form, they'll receive an immediate alert. Since we added custom fields to each form, we now have the ability to distinguish between completed forms versus uncompleted ones. For instance, if you run an online store, you could design a special discount coupon exclusively for consumers who complete the Contact Us form. Then, you can sort all future orders by customer status and assign a higher price point to items purchased from inactive subscribers.
Where are forms located in HubSpot?
There are three main places where forms exist within HubSpot accounts: Templates, Sections, and Modules.
Templates contain pre-designed layouts that allow businesses to quickly develop attractive websites, sales pitches, newsletters, and more. They consist of many different themes ranging from commerce to education. As previously stated, there are hundreds of different templates available for download, meaning your choice of layout shouldn't pose much difficulty.
Sections refer to individual segments within a given template. If you decide to delete a particular section, you must remove ALL of its contents before removing it altogether. Otherwise, you risk breaking whatever links are embedded within the deleted section. Therefore, try to avoid deleting sections unless absolutely necessary.
Modules serve as smaller building blocks for templates. These can be used individually or incorporated into larger projects. Like sections, modules aren't meant to be modified in anyway except for editing existing text. Unlike sections, however, modules cannot be removed outright. Modules are often utilized to highlight important features of a given theme. For instance, you might employ a module to showcase testimonials from previous customers. Or perhaps you want to embed a map showing nearby locations. Both scenarios require little effort compared to building complex designs.
Finally, remember that you can easily copy existing sections and modules and paste them elsewhere. This makes it very convenient for modifying existing themes while saving you valuable development hours.
How do I submit form data to HubSpot?
Submitting form data to HubSpot requires slightly more technical expertise since there are unique methods involved. Luckily though, it's pretty simple and straightforward. First off, you'll need to ensure that both the sender ID and receiver IDs match up correctly. If you ever come across problems during setup, ask your support representative for help troubleshooting.
Next, visit Settings & Integrations within Account " Integration Center. Scroll down to the bottom portion of this menu and locate Add New Service. Hit Create New Service and choose WebForm Submission. Fill in all requested information including service URL, description, consumer key, secret, authentication method, post variables, and API Token. Afterward, you'll see a short preview detailing the parameters needed to configure this integration properly.
Afterwards, hit Save Changes. A few moments later, you'll receive an email stating that the integration was successful. Upon clicking the confirmation link, you'll be taken to a second screen explaining the exact steps required to integrate this service into your workflow. Please note that HubSpot recommends checking out third party services that offer additional functionality, such as integrating Google Analytics.
That being said, HubSpot offers plenty of flexibility regarding the number of services you can connect simultaneously. Unfortunately, there are limitations that prevent us from connecting too many integrations at once. We recommend keeping fewer connections active at a time to reduce errors. If you need to increase your limit, talk to your Support Representative so they can update your current settings accordingly.

Another thing worth mentioning is that if you choose not to store your information on HubSpot's servers, you won't have access to it either.
