How do you view notes in HubSpot?


HubSpot's note feature allows users to write and organize information about their leads, prospects or customers. You can also create customer service tickets for your clients, track client conversations on proposals or even share files with colleagues within an organization.

One of the most popular uses is to send out thank-you emails after a sales call. But did you know that you could actually search through these notes using HubSpot as well?

In this article we'll show you how to find every single notes written by yourself or others on any given contact record in HubSpot. We'll demonstrate it step-by-step so you can see exactly what to do.

Before starting, make sure you have created at least one new lead (or prospect/customer) and saved them to your workspace first. If you haven’t yet done so, go ahead and click Create New Contact from the top navigation menu bar. Then select + Lead Form " Contacts from the popup window. You will be redirected back here once you finish creating your first lead.

The following steps are based off my own personal experience running HubSpot CRM since 2014. As for anyone else who may run into this issue, please reach out to our support team if you need assistance. They're more than happy to help!

How do you use Notes in HubSpot?

As mentioned earlier, you can utilize HubSpot Note functionality to save text comments directly onto specific records such as Leads, Opportunities, Accounts, etc. The reason why they often get overlooked is because people tend to think they don't have access to those features when in fact, it's just not set up properly.

To enable the Notes feature in HubSpot, simply follow the next few simple steps below:

Click on Edit Main Menu located right under My Workspace

Select Settings & Privacy Policy from the drop down list

Scroll down until you see Manage Access Roles

Under Manage Access Rights, check Enable Notes

Once enabled, you should now see a Notes icon under each individual record type you want to assign notes to. Clicking on that link will bring up a pop-up box where you can start writing. Once finished, hit Save.

When reviewing existing data, you can easily locate individual notes via the same process above. However, if you already have a particular person selected as your default user, you will only be able to review notes written by that user. In order to change the default user, logout of the system then sign in again. This ensures that you always have full control over which user sees which notes.

Note: When viewing notes, only certain users can edit them. To grant editing privileges to other users, head back to the main screen and navigate to Administration " Users and Permissions. From here, look for the User ID field for the current user and input the email address of someone else who has permission to modify notes.

Now let's move forward to discussing some additional ways to customize your Notes section.

What is notes in HubSpot?

Essentially, Notes allow businesses to keep detailed records regarding interactions between companies and its' valuable accounts. It provides a centralized location for employees to quickly update important details about a particular account without having to retype everything manually.

A great example of when utilizing the Notes tool is during a phone conversation. After speaking with a potential client, you might wish to document questions asked as part of the discussion. Doing so helps you remember key points of the interaction later on during the actual proposal phase. Or maybe you'd like to provide feedback to another colleague about a piece of work they submitted.

No matter what scenario arises, you can rest assured knowing that you have immediate access to this area within HubSpot. Additionally, the ability to attach documents and images makes it easy to complete tasks faster while keeping things organized.

With that being said, there are many different reasons why you may decide to take advantage of this feature. So whether you're trying to improve employee productivity, streamline operations or increase collaboration among teams, HubSpot Notes is built specifically for that purpose.



How do I add notes to HubSpot contacts?

If you were wondering how to upload notes to contacts, you came to the correct place. Here's how to do just that. First, open your preferred browser tab and visit https://app.hubspot.com/contacts/. Next, scroll down until you see the Add Another Section button located near the bottom left corner of the page. Select that option to expand the sidebar on the right side of the screen. That brings up more options to choose from.

From here, pick either Creating A New Contact Record or Importing A List Of Existing Records. Whichever route you choose, continue reading to learn how to proceed further.

Creating A New Contact Record

This method works best if you plan on uploading multiple contacts per form. Simply fill out the required fields and then move down to the last row. There you will see three buttons labeled Email Address, Phone Number, Company Name. Choose whichever one suits your needs. For purposes of demonstration, we chose Email Address.

By clicking the blue Link Icon, you will bring up a pop-up box where you can enter your URL. Enter whatever name you would like for the contact record. Make sure to include the @ symbol before the domain name. Keep in mind that you cannot duplicate a standard email address, meaning that you cannot use Gmail as both an email and username. After entering the desired name, press Continue. Next, choose Upload File and browse to the file you want to attach. Depending on which version of HubSpot you're currently using, the attached file size limit varies slightly. On older versions, you can attach photos up to 20 MB, videos up to 25 minutes long, and spreadsheets up to 100 rows x 50 columns. With newer versions, however, you can attach anything up to 2GB, including pictures, video clips and audio recordings.

Lastly, give your newly uploaded contact a unique identifier number. These numbers are usually auto generated. Press Submit. Now, depending on your internet speed, wait anywhere from 10 seconds - 5 minutes. During that time, your contact record should automatically sync itself with your cloud storage platform. Should that happen, congratulations! You successfully completed the initial setup stage.

Importing A List Of Existing Records

For those of you who prefer importing contacts instead, here's what you must do. Head back to the previous screen where you saw the Add Another Section button. Instead of selecting Create a New Contact Record, choose Import A List of Existing Records.

Fill out the necessary fields and follow the prompts. Just remember that HubSpot doesn't accept spaces, commas, curly brackets, square brackets, colons, semicolons, exclamation marks, question marks, slashes, or tabs. And please try to avoid typing periods at the end of sentences. Those won't transfer correctly either.

Once you're done, press Send. Your request should immediately begin processing. Remember to check your email inbox periodically for updates. Finally, feel free to switch back to the Create A New Contact Record method whenever you need to.

Can you import notes into HubSpot?

Unfortunately, no. Currently, HubSpot does not offer the capability to export notes. However, we hope to rectify that soon enough. Until then, we recommend taking advantage of external services. Some examples of tools that integrate with HubSpot are Evernote and Google Drive.

Using these methods gives you total freedom over what content gets synced with your device. Plus, it lets you stay updated on changes made to your notes across devices. Best of all, you can still connect to your Cloud Storage Platforms anytime you want.

So regardless of which solution you choose, if you ever wanted to delete a particular note, you can do so by deleting the entire entry. However, doing so means losing all future references to that contact. Furthermore, if you have assigned several different roles to the same user, you will lose the privilege to manage notes altogether. Therefore, unless you really need to remove the item permanently, consider leaving it alone.

HubSpot's Notes feature allows users to add and organize text, images or files to an item on their contact record page. The user can then assign who should see that particular note (i.e., team member).

It also offers real-time collaboration for teams by allowing multiple people to work simultaneously on a single document or file without having to email it back and forth. There are other features like reminders which help you remember about important tasks. You can even schedule a follow up with your contacts after they have viewed certain documents. This way you don’t need to chase them down with emails every time.

But how exactly does this work? Can you access these notes from outside of HubSpot? And most importantly – what if you want to export those notes so that you can use them elsewhere? Let us show you everything you need to know about viewing notes in HubSpot.

Can you import notes HubSpot?

No, unfortunately not. But here’s why…

When creating new items via HubSpot, we recommend using the “Add New Item” function instead of entering individual fields manually. Doing so will give you more control over the layout as well as make sure that any required data gets filled automatically. If you were to try and create a new item via editing an existing entry, some optional information might get skipped due to incorrect formatting. Alternatively, you could be forced to enter unnecessary details yourself, wasting both your time.

This limitation has been put in place because HubSpot doesn’t allow importing records created through its system. It only supports importing records created in Salesforce, ServiceNow, Zoho CRM, Oracle CRM, Google Workspace, Office 365 Business Essentials, and Microsoft Dynamics 365 Customer Engagement.

If you were hoping to migrate between systems, hubspot recommends contacting your account manager at HubSpot since they may be able to assist you. They can provide additional support and services.

How do I find notes in HubSpot API?

There are two ways to interact with notes within HubSpot accounts. First, you can open the Notes tab under Contacts " View & Edit Fields. Here you can review and edit each field individually. Second, you can go directly to https://app.hubspot.com/contacts/[id]/notes. Here, you can browse notes associated with specific contacts. As mentioned earlier, anyone assigned to that contact can also update notes made against said person.

Both methods return similar results, however accessing notes via the API requires authentication credentials. So, before getting started, ensure you set up OAuth2 authorization properly. Once authenticated, you can start making requests from NodeJS using either request module or axios library.

Here are three sample endpoints to fetch notes for a given contact ID: /v1/contact/{id}/notes, /v1/contact/{id}/notebook/{notebook_name}/notes and /v1/workplace/{user_id}/notepad/{note_id}. For example, requesting the first endpoint returns the following JSON result:

In addition to finding notes, you can utilize APIs to retrieve related metadata such as name, description, status etc. Also, you're free to call various endpoints at once to perform batch operations. However, keep in mind that many endpoints require authentication when performing bulk updates.

The best part is that you don’t necessarily have to learn HTTP programming languages such as Python, PHP or JavaScript to interact with HubSpot’s RESTful web service. Simply download the browser extension provided by HubSpot and click on the relevant button to execute commands.

Can you search notes in HubSpot?

Yes! Since HubSpot uses Elasticsearch, you can easily query your index using Lucene syntax. To illustrate further, let’s say you wanted to filter out entries where someone was tagged as being in charge of marketing. In order to achieve this, simply add AND tag:"marketing" to your query.

For example, querying "/v1/contact/123456789/" would yield the following response:

However, depending on the size of your database, your queries may take longer than usual. Therefore, you should consider optimizing your indexes according to your needs. We highly suggest reading our article on optimizing your elasticsearch cluster.

What is a note in HubSpot?

A note is essentially a piece of content stored alongside your contacts' profile photo. Users can attach notes to contacts to better track their progress throughout projects, meetings, calls, chats, etc. Additionally, notes offer quick reference points for customers while interacting with your brand.

Depending on the permissions assigned to each employee, different levels of access can be granted to employees regarding visibility and functionality. For instance, managers can choose whether to enable comments, enabling others to leave feedback or comments. Meanwhile, non-managers won’t have the ability to post anything aside from updating notes themselves.

One thing worth mentioning is that unlike previous versions of HubSpot, notes now appear below your company logo image. Instead of appearing at the bottom of your main menu bar, you'll notice they appear right beneath the Contact Us section.

So far, nothing too complicated. Now we just have to figure out exporting notes to PDF format. Unfortunately, HubSpot currently doesn't support exporting notes to Word, Excel, PowerPoint, HTML, XML, PDF, TXT, CSV, JPG, PNG or GIF formats.

Instead, it provides limited options for attaching attachments directly to notes. Your options include uploading documents or sending links to external websites. Unfortunately, this means that users cannot print off notes unless they physically visit your office. This process can prove inconvenient for remote workers.

To solve this problem, we devised a workaround wherein we exported notes to.CSV format and uploaded it to DropBox. Then, whenever we needed to refer to notes later on, we used an app called NoteBook [Broken URL Removed]. After installing it onto my phone, I opened an empty notebook and entered all essential notes pertaining to clients I interacted with during the day. When I got home, I downloaded all notes to my PC and printed them off in a jiffy.

While this method works great in theory, it takes too much effort to setup beforehand. Plus, it involves downloading another mobile application on top of already bloated smartphone apps. I am still new with HubSpot, and so far it has been pretty great for me. One of its best features is that it allows users to add notes during conversations and meetings. However, sometimes when we are collaborating on projects or discussing ideas via email, it can be difficult to find relevant information if your team members have taken their own notes.

In this article, I will share how I viewed my latest notes within the platform.

HubSpot's Notes feature lets teams create, edit and use notes throughout their workflow. It also provides an easy way to keep track of important discussions about tasks, emails, documents, etc. The ability to easily access and review these notes makes collaboration much easier. You can even attach files such as Word docs, PowerPoints, spreadsheets, audio recordings, and photos to each note. This saves time and effort by allowing people to quickly get up-to-date info without having to check multiple sources.

The only downside to using Notes is that they're not searchable like regular records. So, if you want to pull specific pieces of data out of HubSpot, you'll need to look at them individually. There are many ways to go through notes, but here are some tips for getting started.

How do I extract notes from HubSpot?

To begin viewing individual notes, open the record containing the note(s) you wish to see (in my case, I opened "Task 1" under Tasks). Then click View All next to the title field in the toolbar. Next, select Notes from the dropdown box below the title field. In my case, I chose Notes because I just wanted to take snapshots of several notes. But you could choose any other category depending on what type of notes you want to view. Once you make your choice, hit Select. Now, scroll down until you reach the notes you want to view. On my list of Task 1 items, I clicked on Item 2. A popup window opens showing the item details. Under Date Created, I saw dates that corresponded with the date I took those screenshots. And then, underneath, I saw all of the attached images listed by name. Each image had embedded links inside the note itself. Although this method was effective, I found myself wanting more control over which notes were displayed.

So, now let’s say that I want to pull every single note created on a certain task. For example, I might want to display everything related to “Task 3". To do this, first, you should navigate to the Task where you want to view notes. Second, highlight the text “View All Notes” located near the top right corner of the screen. Third, click the icon that looks similar to three dots. Fourth, select Show More Options. Finally, under Show Notes, select All Notes. Now, whenever you click on any of these options, a pop-up window displays displaying all notes matching whatever criteria you selected. If you prefer to customize the selection process yourself, you may pick different filters such as Type, Status, Author, Date Created/Updated, etc., instead of selecting a particular option from preselected categories.

By doing this, I was able to filter the notes based on the types of notes I wished to show. As mentioned earlier, HubSpot does provide numerous options for filtering notes. Here are few examples of what else you can accomplish:

To filter notes by status or priority level: Clicking on Filter By Level will bring up another set of options. From there, you can sort your notes according to various factors such as Priority, Status, Category, etc. Alternatively, you can apply both levels of filters simultaneously.

Click on Filters beside the Search bar, then, select Apply Multiple Levels of Filters. Afterward, enter values for two filters, i.e. Status & Priority, and press Enter. Your filtered results will appear immediately.

You can further narrow down your search by clicking on the gear icon next to the Search button. Doing this will allow you to change your filters.

If you'd rather limit your results to a specific amount, you can adjust the number of rows per page. Go to Settings - Scroll Down Below the Search Bar Field and Change Number Rows Per Page.

This means that you can save time searching for notes by limiting the total number of pages you wish to browse. Just remember that your maximum search result count depends upon the number of notes available in your system.

Another handy tip is to use Google Chrome extensions to help manage tabs while working in HubSpot. You can download free browser extensions from the Chrome Web Store. These tools include Tab Manager Pro [No Longer Available], which automatically closes inactive tabs after a specified period of time. Or, try Session Buddy Lite Free, which helps you stay organized by organizing bookmarks, browsing history, downloads, passwords and apps in one place.

Can I export notes from HubSpot?

Yes! At times, however, it can be tedious to manually copy and paste notes from HubSpot into Microsoft Word. Fortunately, there are several methods for exporting data from HubSpot. Let's start off with importing notes directly into Word. First, open HubSpot and click on Data Import Wizard. When prompted, click Start Import. Then, follow these steps:

Select whether you want to import all data, or only selected data.

Choose either Browse File... or Upload File... depending on your preference.

Once your file arrives, select the correct tab.

Then, select the columns you wish to transfer. Do this carefully because once you are finished, your original fields won't exist anymore.

Finally, complete the remaining prompts.

After completing these steps, you will receive a confirmation message stating that your file imported successfully. Now, if the above doesn't work for you, consider downloading the Export to CSV tool. With this, you can export data in.csv format. Simply log into HubSpot and head to Tools - Utilities. Choose Download Utility. In the resulting window, select Export Data to CSV. Follow these directions:

Enter your credentials.

Under Format, select Comma Separated Values (.csv).

Next, fill out the rest of the necessary fields.

Hit Save.

Now, you can simply connect to the spreadsheet program of your choosing, such as Excel, and import your newly exported data.

Alternatively, you can use third party programs to convert HubSpot data into formats suitable for uploading onto websites. Some popular ones include XLS2Web [Broken URL Removed]and SpreadSheetSync.

How do I extract data from HubSpot?

There are many reasons why you might require extracting data from HubSpot. Maybe you're trying to build reports for clients, send weekly updates to colleagues, or compile stats for marketing campaigns. Whatever reason you're motivated by, there are plenty of useful applications built specifically for things like this.

First, you must decide what kind of report you need. Most often than not, this decision comes down to what project you are currently working on. Are you creating company-wide statistics? Is your goal to generate monthly sales figures? Perhaps you want to compare performance metrics among departments? Whatever your goals, you can find solutions designed to suit your needs.

One option is to utilize HubSpot's Report Builder. Using this application, you can produce customized charts, graphs, and tables from existing datasets. Additionally, you can integrate external services, including Twitter, YouTube and Facebook. Another excellent solution is the HubSpot Dashboard. This app offers real-time updates on key indicators such as conversion rates, leads generated, customer satisfaction ratings, social media shares, etc. Plus, you can publish your dashboard anywhere, meaning you don't necessarily have to host it internally.

Lastly, I noticed that the Notes area did not always function properly. Sometimes, I couldn't preview the notes I received unless I downloaded them. Other times, I wasn't notified when someone sent me a new note. Despite being frustrating, I hope this guide helped shed light on how to view notes in HubSpot.
