What Your CRM Will Really Cost in Year One: A Budget Checklist for B2B Sales Teams

Most B2B teams choose a CRM by comparing the monthly price on two pricing pages. That number is rarely what finance sees twelve months later. Seat minimums, contact tiers, onboarding fees and messaging usage tend to surface after the demo call, and together they can double or triple the first-year bill.

This checklist covers where those costs sit and what to ask before you sign. It uses two platforms that small sales and marketing teams often shortlist as a worked example.

Five places the extra cost hides

1. Seats. Many CRMs price per user, and the cheapest tier often caps how many users you can add. Count everyone who will log in during the year: SDRs, account executives, managers and the contractor who builds your sequences. Ask whether view-only users are free.

2. Contact tiers. Some platforms bill by the size of your database rather than by how many people you email. Years of lead generation can push you into a higher tier even when half the list is dormant.

3. Onboarding fees. Professional and enterprise tiers often carry a one-time setup or implementation fee. It is easy to miss because it usually appears on the order form, not on the pricing page.

4. Usage. SMS, calling and email sending are increasingly metered. Budget for them the way you budget for a phone bill, based on last year's volume plus growth.

5. Add-on modules. A marketing tier may not include pipeline management. On some platforms the sales module is a separate subscription with its own seat pricing.

A worked example: all-in-one vs. ecosystem

HubSpot and GoHighLevel often end up on the same shortlist for agencies and lean sales teams, and their pricing models sit at opposite ends.

HubSpot Marketing Hub Professional lists at about $890 a month. A required $3,000 onboarding fee comes on top, and each extra core seat adds $45 a month. A realistic first year lands somewhere between $13,700 and $15,000.

GoHighLevel's Unlimited plan costs $297 a month and includes unlimited users. SMS and email sending run through a prepaid wallet, which at moderate volume adds roughly $50 to $100 a month. A realistic first year comes to about $4,200 to $4,800.

That is roughly a three-to-one gap, and the cheaper tool is not automatically the right one. HubSpot's reporting, attribution and permission controls hold up when many people share one CRM, and a funded in-house team can get its money's worth. GoHighLevel is built for agencies that run a separate account for each client and want one login for CRM, funnels, calendars and messaging. The line-by-line math behind these figures is in RealCostLabs' GoHighLevel vs HubSpot cost breakdown.

Five questions to ask before you sign

  • How many people will need edit access in month twelve, not month one?

  • How many contacts will be in the database after a year of lead generation, and does the price change as that number grows?

  • Is there a one-time onboarding or implementation fee, and can it be waived on an annual contract?

  • Which channels are billed by usage, and what did a customer of similar size pay last quarter?

  • Which features shown in the demo belong to a different tier or a separate module?

Put the answers into a simple twelve-month sheet: list price times twelve, plus extra seats, plus onboarding, plus expected usage. If a vendor will not give you the numbers to fill it in, that tells you something about the bill as well.

A CRM that fits the budget in January and breaks it in November costs more than the overage. Teams end up migrating data, retraining reps and rebuilding automations halfway through the year. An hour with a spreadsheet before signing is the cheaper option.
